This policy explains how My Green Valley (“we”, “us”) collects and uses your personal information when you use this website, become a member, or get in touch with us. We’re a volunteer-run community litter picking group based in Pontardawe, and we only collect what we need to run the group.

Who we are

My Green Valley is responsible for the personal information described in this policy. If you have any questions, email us at mygreenvalleyorg@gmail.com or call or WhatsApp 07546 847388.

  • For under 18s, the name, email and phone number of the parent or responsible adult who will accompany you

  • Whether you’re happy to be photographed

When you contact us

If you use our contact form, we collect your name, email address, phone number (if you give it) and your message. If you email, call, WhatsApp or message us on Facebook, we’ll have the details you send us.

At litter picks and events

We sometimes take photos at group litter picks and events to help publicise the work the group does. We ask members on the membership form whether they’re happy to be photographed.

How we use your information

  • To process your membership and send you the membership payment details
  • To keep in touch with you about your membership, group litter picks and news, if you’ve agreed to receive emails
  • To keep volunteers safe at group litter picks, including making sure under 18s are accompanied by a responsible adult
  • To reply to your questions and messages
  • To share photos of our activities on this website and our social media, only where you’ve said you’re happy to be photographed

Our legal basis for using your information

Under UK data protection law we must have a valid reason to use your information. We rely on:

  • Consent: for sending you emails, using photos of you, and any medical information you choose to give us. You can withdraw your consent at any time by contacting us.
  • Legitimate interests: for running the group, managing memberships, keeping volunteers safe and replying to messages.

Who we share it with

We don’t sell your information, and we won’t pass it on to any third party for their own use. Your information is held by the following services on our behalf:

  • Our website host, which stores this website and the forms you submit
  • Our email provider (Google), which handles our group email account

We will only share your information with anyone else if the law requires us to.

If you contact us through Facebook or WhatsApp, those services’ own privacy policies also apply.

How long we keep it

We keep membership details for as long as you’re a member, and remove them when you’re no longer a member. We keep messages from our contact form for as long as we need them to deal with your enquiry. You can ask us to remove a photo of you at any time.

Keeping your information safe

This website uses a secure (HTTPS) connection, so the information you send through our forms is encrypted. Only the volunteers who run the group can access members’ details.

Cookies

This website doesn’t use advertising or tracking cookies. If you log in to manage the website, WordPress sets a small number of cookies that are needed for that to work.

  • Ask us to correct anything that’s wrong
  • Ask us to delete your information
  • Object to, or ask us to limit, how we use your information

To use any of these rights, email us at mygreenvalleyorg@gmail.com. We’ll reply within one month.

If you’re unhappy with how we’ve handled your information, please talk to us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
